How to Set Up a Microsoft Teams Meeting for First-Time Users



 

For people who haven't turned on their video, Teams shows their profile pic instead or their initials if they haven't added one. See the videos of up to 49 other people at once. This option is available when at least 10 people have their cameras turned on. Note: If no one is sharing video, Large gallery won't be selectable in the menu. When more than 49 participants join a Teams meetings, see them all in a gallery with pages.

Use these navigation controls to view or engage with more participants. Lets you feel like you're in the same shared space with everyone in the meeting. Together mode is available when there are at least five people in the meeting. If you're a meeting organizer or presenter, you have an assortment of scenes to choose from. Note: 2x2 video on Teams for web Edge and Chrome is available as part of the public preview program and may undergo further changes before being released publicly.

Available when content is being shared. This is the view to choose when you'd like to pay close attention to the content without the distraction of seeing people's video feeds. Note: You'll need to turn on the new meeting experience to use Large gallery, Together mode, and Focus. In the meeting controls, select Change your view and choose Focus. To pin someone's video to your view regardless of who's talking, select More options in their video feed next to their name and choose Pin.

To pin your own video, select More options in your video feed next to your name and choose Pin for me. This will pin your video for your own view, others won't see you pinned. Spotlighting a video is like pinning it for everyone in the meeting.

If you're an organizer or a presenter, you can choose anyone's video including your own to be the main video people see. To spotlight someone else's video, right-click on the one you want and select Spotlight. To spotlight your own video, first select Show participants. Then, under Participants , right-click your name and select Spotlight. You can spotlight anyone else's video this way, as well. For more details, see Spotlight someone's video in a Teams meeting.

To hide your own video, select More options in your video feed next to your name and choose Hide for me. This will hide your video for your own view, others will still see your video. Teams crops some videos to make them fit your screen better.

When you join a Teams meeting or call on the mobile app, you can customize your video experience—and the video you share with others—in a bunch of different ways. To turn on your video before a meeting, just tap Turn video on right before you join. You may want to turn your video on or off over the course of a meeting—if you'd prefer people only see you while you're talking, for example.

Go to the meeting controls anytime during the meeting and tap Turn video on. You can blur your background before or during a meeting if you don't want others to be able to see what's behind you.

You'll appear nice and clear while everything behind you is subtly concealed. Before the meeting, just tap Background blur in the upper left corner of your screen before tapping Join. For more details about changing your background, see Change your background for a Teams meeting. For example, in a large meeting, you may want to see as many video feeds as you can at one time.

The default view when you join a meeting. When there are more than seven others in attendance eight if you're using a tablet , Teams features the people who have their video turned on and those who speak the most. Your video feed is always in the lower-right corner of the screen. If you're using a phone , you can see up to eight featured participant videos and 15 additional people to scroll through at the bottom of the screen.

If you're using a tablet , you can see up to nine featured participant videos and 20 additional people to scroll through at the bottom of the screen. This option's available when at least nine people have their cameras turned on. You can view up to participant videos though not all at once. The maximum number of people you can see on your screen at once depends on your device and its software.

Together mode is available when a meeting has at least five people in it. To change the scene, tap on the scene name in the bottom left corner of your screen.

To pin someone's video to your view regardless of who's talking, press and hold the video you want, then tap Pin. When a video is spotlighted, it's essentially pinned for everyone in the meeting.

For now, you're not able to start or stop spotlighting on the mobile app, but when someone using the desktop app spotlights a video, that video will be spotlighted for you just like it is for people on the desktop app. For more info, see Spotlight someone's video in a Teams meeting. You must be a Teams admin to make these changes. See Use Teams administrator roles to manage Teams to read about getting admin roles and permissions. Go to the Teams admin center. Under Participants , turn on Anonymous users can join a meeting. If you don't want anonymous users to join meetings scheduled by users in your organization, turn off this setting.

Admins can now control whether specific users or groups of users can let anonymous users join the meetings they organize. This comes with Teams PowerShell version 2. You can use either policy, organization-wide or per-organizer, to manage anonymous join. We recommend that you implement the per-organizer policy. The organization-wide policy setting will be deprecated in the future and the per-organizer policy will be the only way to control anonymous join.

Since both the organization-wide and per-organizer policies control anonymous join, the more restrictive setting will be effective. For example, if you don't allow anonymous join at the organization level, that will be your effective policy regardless of what you configure for the per-organizer policy. Therefore, in order to allow anonymous users to join meetings, you must configure both policies to allow anonymous join by setting the following values:.

When anonymous users are allowed to join meetings, they can use either the Teams client or a custom client built using Azure Communication Services. Anonymous users will now inherit the user-level global default permission policy.

This control will then allow anonymous users to interact with apps in Teams meetings as long as the user-level permission policy has enabled the app.

You must be a Teams service admin to access this setting. Under Participants , the setting for Anonymous users can interact with apps in meetings can be changed.

If you don't want anonymous users to interact with apps in meetings scheduled by users in your organization, turn off this setting. You can customize Teams meeting invitations to meet your organization's needs.

You can add your organization's logo and include helpful information, such as links to your support website and legal disclaimer, and a text-only footer. Store the image in a location that everyone receiving the invitation can access, such as a public website. Wait an hour or so for the changes to propagate.

Then schedule a Teams meeting to see what the meeting invitation looks like. If you're using Quality of Service QoS to prioritize network traffic, you can enable QoS markers and set port ranges for each type of media traffic. Setting port ranges for different traffic types is only one step in handling real-time media; see Quality of Service QoS in Teams for much more detail. Apple-based systems: The only instance that we know of where Apple-based devices actually set the DSCP value is if all the following conditions are met:.

If you enable QoS or change settings in the Microsoft Teams admin center for the Teams service, you'll also need to apply matching settings to all user devices and all internal network devices to fully implement the changes to QoS in Teams. You only have the option of using markers or not; you can't set custom markers for each traffic type. Note that enabling QoS is only performed on the endpoints for tagging packets leaving the client.

We still recommend applying matching QoS rules on all internal network devices for incoming traffic. If your company requires tagging on destination ports, please contact support to enable communication to the Transport Relay with UDP ports Audio , Video , and Sharing. To specify port ranges, next to Select a port range for each type of real-time media traffic , select Specify port ranges , and then enter the starting and ending ports for audio, video, and screen sharing.

Selecting this option is required to implement QoS. If Quality of Service QoS markers for real-time media traffic is on, then you have to manage your port settings.
